Virtual Receptionists FAQs

  • Additional calls are billed at a flat overage rate based on your plan.

  • No! Unused calls roll over to the next month.

  • You can change plans at any time based on your firm’s needs. You can use our customer portal to make adjustments yourself or reach out to us via email or phone call.

  • You get 7 days free to evaluate your call volume. After that, you can pick a plan that fits your needs! Or you can also cancel anytime.

  • Mango Bibo uses a simple pay-per-call pricing model—you’re billed a flat rate per productive call, not per minute. Each plan includes a set number of calls per month, and any unused calls roll over to the next month. If you exceed your plan, additional calls are billed at a transparent overage rate based on your plan. Dropped calls (less than 5 seconds), ghost/blank, spam, and telemarketing calls are not charged.

  • Onboarding includes setting up your call handling scripts, assigning a dedicated phone number, assisting in set up call forwarding with your current provider, and performing test calls to make sure everything works smoothly. We’ll work with you to customize greetings and specific procedures tailored to your business needs, ensuring the setup aligns perfectly with your workflow.

  • We provide real-time updates for all calls, based on your call-handling instructions. If a call comes in, we’ll attempt to reach you or your team member as instructed. We send notifications immediately via text, email, or both, depending on your preference. This way, you are always informed about important calls in real-time.

  • Yes, we provide detailed end-of-day, weekly and monthly (based on statement date) summaries that outline all calls handled throughout the period. This summary can be sent via email, ensuring you have a complete record of the interactions and outcomes, helping you keep track of business communications effectively.

  • You can manage your account through our customer portal or contact our support team directly for any upgrades or changes to your plan. We’re flexible and can adjust your plan based on your evolving business needs.

  • Our receptionists are available worldwide, offering 24/7 support across time zones. Most are based in the Philippines, known for excellent English and customer service skills.

    We also offer bilingual receptionists for an extra fee of $20 to $40 per month, depending on your plan and language needs. Less common languages may have a higher fee due to availability and expertise.

  • Absolutely! Our receptionists can integrate with your calendar system to manage appointments and scheduling seamlessly. We offer two integration options:

    -Calendly Integration – If you use Calendly, we can schedule, reschedule, or cancel appointments directly through your link.

    - iCal Integration – If you prefer to use your existing calendar (Google Calendar, Outlook, etc.), you can share your iCal format HTTP URL, and we will integrate it into our system. This allows us to view and manage appointments based on your availability while keeping your schedule organized and up to date.

  • Getting started is quick and seamless! Here’s how we ensure all your calls are properly routed to our receptionist team:

    1️⃣ We Assign You a Dedicated Number – Once you sign up, we will provide you with a unique phone number that will act as your receptionist line.

    2️⃣ You Set Up Call Forwarding – Using your current phone provider’s settings, you can forward all incoming calls from your business number to the dedicated number we provide. This ensures that all calls are routed to our receptionists first.

    3️⃣ We Answer and Handle Calls Based on Your Preferences – Our team will greet your callers professionally, follow your call-handling instructions, and transfer or take messages as needed.

    Our Receptionist service is managed by a team of professionals who handle client communication, including answering calls, client intake, scheduling consultations, message-taking, and after-hours support. Billing is based on the number of valid calls received by the team. This ensures 100% answer rate during business hours/ after hours

    🔹 General Virtual Assistant (GVA)  

    • Scope of Work:

      • Administrative tasks (calendar & inbox management, data entry, document preparation)

      • Customer care (live chat, phone & email support, CRM updates)

    • Scope of Work:

      • Basic legal drafting - contracts, basic pleadings, demand letters, templates

    • Scope of Work:

      • Legal Research & Drafting:

        • Drafting motions, pleadings, and legal briefs

        • Preparing and responding to discovery requests

        • Conducting thorough case research

      • Case Management:

        • Managing e-filing tasks

        • Updating and maintaining case management software

        • Coordinating with opposing counsel

        • Preparing materials for trials

    • Qualifications: Licensed Attorneys from the Philippines (bar passers).

    • Pricing:  $14/hour.

  • We make the selection process simple and efficient for you. Based on your specific requirements, we will provide you with three carefully matched Legal VA profiles. You can choose to interview any or all of them, and we will handle the scheduling for you. After the interviews, you can select the VA who best fits your needs.This process ensures you find the right Legal VA for your firm with minimal hassle.

  • Yes, you can use both receptionist and Legal VA services to meet your firm’s specific needs.

  • The 7-day free trial begins once you’ve selected your dedicated Legal VA and finalized the plan. After the trial, billing is weekly based on your chosen plan:

      • Full-Time (40 hours/week): $8/hour ($320/week)

      • Part-Time (30 hours/week): $8.50/hour ($255/week)

      • Part-Time (20 hours/week): $9/hour ($180/week)

    Flex Time (No minimum hours): $10/hour, billed only for the hours worked.

    • Tasks are general (non-legal) – No risk of handling confidential or billable client materials.

    • Easy to evaluate – Clients can assess efficiency in a few days without legal consequences.

    • Lower skill barrier – No formal training or law-related expertise is required.

    • No risk of compliance violations – Legal professionals need strict onboarding, whereas GVAs can adapt easily.

  • We offer free trials for General VAs because their tasks are more flexible and easy to assess. While all our VAs maintain confidentiality, Legal VAs and Remote Paralegals handle sensitive legal documents, case research, and client information that require a higher level of legal responsibility. Their work directly contributes to your cases, meaning you can bill their services to your clients just like any other legal expense, making them a valuable and cost-effective investment for your firm. Unlike a GVA who can work on general tasks during a trial period, an LVA or Paralegal needs immediate access to privileged legal documents, which we cannot offer without a signed agreement. However, we guarantee service quality, and if your assigned Legal VA or Paralegal is not the right fit, we will provide a replacement at no extra cost.

  • The more hours you commit, the lower your rate per hour since VAs prefer full-time work. More hours with one client give them stability, reducing costs that we pass on to you.

    For plans with fewer hours or flexible schedules, rates are higher due to increased coordination and administrative work, as VAs must find additional clients to fill their time. This added flexibility raises overall costs.

We provide ongoing support and a replacement guarantee—if your VA isn't a perfect fit, we'll find a better match without the hassle.
